Fixed-Term Contract

ROLE TITLE: EXECUTIVE ASSISTANT

LOCATION: HARARE

REPORTING TO: CHIEF EXECUTIVE OFFICER

PURPOSE

To provide comprehensive support to the CEO, handling both personal and professional tasks. The incumbent is required to be highly organized, proactive, and adaptable with ability to manage diverse responsibilities efficiently.

Duties

Administrative Support

  • Manage the Chairperson’s calendar, including scheduling meetings, appointments, and travel
  • Handles correspondence, including emails, phone calls, and letters, ensuring timely and appropriate responses
  • Prepares and edits documents, presentations, and reports for internal and external use.

Meeting Coordination

  • Prepares meeting agendas, take minutes, and follow up on action items
  • Coordinates logistics for board meetings, committee meetings, and other key events.
  • Liaises with board members, donors, and other stakeholders as needed.

Project Management

  • Assists with the planning and execution of special projects and initiatives led by the Chairperson.
  • Conducts research and provides analysis to support decision-making processes.
  • Monitors project timelines and ensures deliverables are met.

Communication and Stakeholder Management

  • Manages personal appointments and tasks for the Chairperson, including family matters and household management.
  • Handles confidential and sensitive information with discretion
  • Serves as the primary point of contact between the Chairperson and internal/external stakeholders
  • Drafts and edit communications on behalf of the Chairperson.
  • Facilitates communication within the executive team and across departments
  • Attends events and functions as a representative of the Chairperson when required.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree (or equivalent)
  • At least 3 years’ relevant experience (minimum) in a similar role
  • Certification in secretarial work, office administration, or related training.
  • Ability to manage internal and external correspondence.
  • Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
  • Excellent written and verbal communication skills.
  • Excellent communication and presentation skills
